Terms & Conditions

1. Participant Conduct
Parents/guardians are responsible for their child’s behavior during camp.
Students are expected to follow instructions, respect others, and use materials safely.

Any student who behaves in a disruptive or unsafe manner may be dismissed from the program without a refund.
Parents may be responsible for any damage caused by their child to equipment or property.

2. Release of Liability
Participation in XEcho Space Camp involves normal risks associated with hands-on STEM activities.

By enrolling, you agree to release and hold harmless XEcho Space Camp, its staff, and affiliates from any liability for minor injuries, loss, or damage that may occur during participation.

3. Medical Emergencies
In the event of an emergency, XEcho Space Camp staff may seek appropriate medical care for your child. Parents/guardians will be contacted immediately.

4. Drop-off & Pick-up
Students must be dropped off and picked up on time.

A late pickup fee may apply for delays beyond 15 minutes. Repeated late pickups may result in withdrawal from the program.

5. Food & Snacks
Families are responsible for providing snacks and lunch for their child.
Please inform us of any allergies or dietary restrictions.

6. Supervision
For safety and learning quality, parents are not permitted to stay during camp sessions.
Please drop off and return at the scheduled pickup time.

7. Health & Safety
Students should be in good health to participate.
Parents must provide accurate medical information during registration.

8. Photo & Media Release
By enrolling, you grant permission for XEcho Space Camp to use photos or videos taken during camp for educational or promotional purposes.
No personal identifying information will be shared publicly.

9. Agreement
By submitting this registration form, you acknowledge that you have read, understood, and agree to these Terms & Conditions.

Information We Collect
We may collect parent/guardian information such as name, email, and phone number, as well as student information including name and age for registration and communication purposes.

How We Use Information
Your information is used to:
• Process camp registration
• Communicate important updates
• Provide customer support

We do not sell or share your personal information with third parties.

Photos & Media
With your consent, photos or videos taken during camp may be used for promotional purposes. No personal identifying information will be disclosed.

Data Protection
We take reasonable measures to protect your information, although no system is completely secure.

Cancellation & Refund Policy

We understand that plans may change and aim to provide a fair and flexible policy for all families.

1. Cancellation & Refund
• Full refund if canceled at least 7 days before the program start date
• 50% refund if canceled 3–6 days before the start date
• No refund within 3 days of the start date

2. Missed Days
Missed days are non-refundable and cannot be made up.
However, project materials may be taken home so students can continue learning independently.

3. Credits & Rescheduling
When notice is given in advance, credit may be applied toward a future session within the same season, subject to availability.

4. Schedule Changes
XEcho Space Camp reserves the right to adjust schedules, instructors, or activities when necessary.

5. Minimum Enrollment
Camp sessions require a minimum number of students.
If a session does not meet the minimum enrollment, XEcho Space Camp may reschedule or cancel the session.
In such cases, families will receive a full refund or the option to transfer to another session.

6. Withdrawal Notice
All cancellations or changes must be submitted in writing (email or form submission).

7. Refund Processing
Approved refunds will be processed within 7–10 business days.
